The exhibit fee includes registration for two (2) vendor attendees. All paid vendors are allowed and encouraged to attend any session, except AFA regular members closed session. All exhibit booth personnel are required to register for the conference. Entrance to all functions will require a convention badge.

 

Shipping Arrangements:  A drayage company will handle shipments for displays, equipment or materials at the exhibitor’s expense.

 

Cancellations:  Upon cancellation of the event, the liability of AFA shall be limited to a refund of the exhibit space fee, only to the extent that the cancellation is due to circumstances within the direct control of AFA. In case of exhibitor cancellation, the exhibitor will be refunded 50% and only if cancellation notice is received in writing to the Exhibitor/Vendor Chairperson by March 3rd, 2008.

Exhibit Space Arrangements:

 Exhibit space will be available on a first come first serve basis, with the exception of anyone who needs an *electrical outlet. A standard 6-foot by 30-inch tale, dressed with liners, will be provided. Exhibit materials should be confined to the tabletop.  Attachments to pillars, doors, walls, etc. will not be permitted. The Conference Committee shall the right to exclude or require modifications of any display, which in its sole discretion, it considers unsuitable. AFA will exercise reasonable care for the protection of exhibitor’s materials and displays. Beyond this, AFA will not be responsible for the safety of the display, the exhibitor, his agents or employees from theft, damages by fire, accident or any other cause.

 

* If an electrical outlet or telephone/computer/internet connections are needed, please refer to the Application for Exhibitor Space. Please mark your request on the application and include any additional fees with your payment.

                                    Vendor Schedule Information:

     SETUP TIMES: Wednesday, April 2, 2008 5PM – 9PM

BREAKDOWN: Must be completed by 5PM on April 4, 2007

                                                     Additional Information

Every vendor will be given time on the convention floor to “promote their business”.  However, if a vendor attends one of AFA’s cocktail functions, they are strictly prohibited from writing orders or interrupting an Allied member while talking to a Bank Representative. 

Use of Space: Exhibits shall be shown only in the official exhibit areas as established by AFA, unless otherwise authorized by AFA. Neither exhibitors nor non-exhibitors shall be permitted to display articles, equipment or information in private rooms or suites during the conference. Hospitality suites for the purpose of entertaining are permissible, provided they do not conflict with any scheduled conference event.   

Signage: The use of strong adhesive, pins, tacks, nails, staples or duct tape on any surface of the hotel is restricted. If assistance is needed in hanging signage, advance notification is required. There will be a charge per banner, paid directly to the hotel. Please contact Matt Murray (337)-406-0833, for more information 

Rate and Payment: Exhibit fees are as follows: Exhibitors - $350.00 for one (1) table and two (2) attendees. Additional tables are $150.00 each and additional attendees/guests are $150.00 each
